Canadian Student SEP Application Procedure
- Read the important notes about the database, then create an account in the SEP database [external]. For more information on the application process, take a look at the FAQ (or the link on the left hand side of the form)
- You will receive an email with a link to start the application once your home SEO (Suzanne Soneff) has activated your account. Please allow 24 hours for this.
- Complete the application form. Put a good effort into your CV and motivation letter – this is where the SEP selection committee will get most of the information they use to judge applicants. CV, motivation letter, and picture must be uploaded to the SEP database to make your application complete.
- Pay SEP fees on the CAPSI website (Click here, then click Add to Cart below).

- PLEASE NOTE: SEP regulations state all applications including CV and motivation letter must be in English.

Troubleshooting and Important Information about the Database
- Canadian students should be selecting CAPSI-Canada as their home association. Lately, many students are selecting ‘IPSF Student Exchange Committee’ as the home association. This is not right as their accounts will not be activated by the home SEO.
- Make sure you fill in the ‘preferred dates of exchange’ field, as this will make arrangements much easier and faster.
- Viewing the database on Internet Explorer may have not worked previously but it should be working properly now.

IPSF Student Exchange Program Fee Info (for Canadians)
CAPSI National recently approved changes to the Student Exchange Programme (SEP), and the policy is under revision to ensure it is as comprehensive and fair as possible.
To ensure commitment and dedication to the SEP upon applying, there will be alteration to the fee to be paid to CAPSI National upon applying for the program. In past years, there was a fee of $85 to all applicants. Beginning for the 2010 SEP year, we implemented a SEP deposit. Upon applying to the program, students are expected to pay a total of $150 to CAPSI National. The cost of applying to the program will remain at $85 but there will be an additional deposit of $65.
The deposit will be returned to students who are not successful in obtaining a position within the SEP or students who successfully complete their placements after accepting a Canadian SEP position. The deposit is put in place to ensure that the Canadian representatives are dedicated to the program when accepting their position. Once the student has returned to Canada and the SEO receives confirmation that the student successfully completed the program, the student will be reimbursed the cost of the deposit.
If accepted into the program, the following will be expected of the applicant:
Canadian Obligations:
- Arranging transportation from and/or to the airport for one international student visiting Canada (within the Canadian students university city), OR (only in the case of more Canadian students than international students) arranging a social activity for one international student.
Ie. A Manitoba student accepted into the SEP will be responsible for picking up (or arranging for a family member or friend to pick-up) a Spanish student from the airport in Winnipeg when arriving in Canada
If the Canadian student is out of the country participating in their own SEP while the international student is visiting, they must arrange for a friend or family member to fulfil their Canadian obligations. - If there is no international student visiting the Canadian student’s university city, they will be asked to arrange transportation within their province, or write an article to appear in the Fall edition of the CAPSIL and give a presentation at their university on their SEP experience the following fall.
International Obligations:
- Once the date and location options have been agreed upon, the student is expected to travel to and fully participate in the SEP abroad.
If offered a place on the waiting list, the deposit will be returned if the student withdraws their application or if the student is offered and successfully completes their placement. The student is expected to notify the SEO as soon as possible should they decide not to remain on the waiting list. The deposit will not be returned if a student on the waiting list withdraws from SEP after accepting a placement.
